Notion Workspace — Proposed Structure
Burnout to All Out · Internal Proposal

The Notion Home Base

A proposed structure for where everything lives — built so anyone on the team can find anything without asking.

Organized the way you think. Connected to Claude, so you can just ask where something is.

Read this first.

You don't need to know how any of it works. Maribel and I build it and run it.

This page just shows you where everything will live.

Think rooms of a house. Seven rooms. Open one, everything for that part of the business is in there. No more asking for links.

How to read this

Each numbered block is a room. Click it to see what's inside.

Most things are just pages. A few say "sortable list" — a collection you can filter (every program in one place, every funnel in one place). It already works that way. You set up nothing.

Seven main rooms
01 OperationsThe running of the company — calls, contracts, the week. +
  • Weekly Call Notes Sortable list — one entry per call, by date
  • Department Calls
    • Marketing · Programs · Finance · Dream 1000
  • Contract Templates
  • Recording Requests for Melissa Sortable list — drop a request, it shows on her creative day
  • Team Directory & Logins
02 CEO & BusinessThe 30,000-foot view — plan, goals, money. +
  • 2026 Business Plan — vision, core values, annual goals
  • Financials
    • Sales Goals · Internal Conversion Tracking · External Conversion Tracking
  • Team Scope & Profitable Pursuits
  • Customer Journey Maps — Hive, Queen's Chamber, Inner Circle
03 MarketingEverything that brings people in and moves them through. +
  • Brand Voice & Mirror Messaging Docs — the source everything is built from (top of the space)
  • Marketing Calendar & Launch Strategy
  • The Funnels Sortable list
    • One filterable place for every funnel — tag each as Cold Traffic or Warm/Internal
    • Each funnel holds the same set: ads, checkout copy, cart bump, OTO, thank-you, confirmation emails, nurture/sales sequence
  • Conversion Events Sortable list — MTS, Offer Flows, Monetize & Multiply, CEO Compass (invite emails, deck, workbook, sales emails, transcripts)
  • Cart Bumps · OTOs · Tripwires — built once, grab off the shelf
  • Social Media — ongoing copy, repurpose archive, Melissa's LinkedIn transcripts
  • Newsletters
  • Podcast & Secret Podcast — descriptions, content queue, editing SOP
  • Ads — performance tracking, creatives, Ads Manager workspace
  • Testimonials Sortable list
04 ProgramsWhat clients get inside Hive, Queen's Chamber, Inner Circle. +
  • The Hive — description, premium client doc, sales page, welcome/onboarding, journey map, self-assessments
  • Queen's Chamber — same set: description, premium doc, sales page, welcome, journey, assessments
  • Inner Circle — same set, plus 1:1 assessment forms
  • Curriculum & Module Transcripts Sortable list — LGM, BGS, Hive, intensives, masterclasses
  • Client Results Sortable list
  • AI Brain & Skills
05 IntensivesThe workshops — each one built the same way. +
  • All Intensives Sortable list — Authority Loop, Business Planning, Black Friday, Freebie Lab, Inbox to Income…
  • Each intensive holds the same template:
    • Checkout cart (internal vs external pricing) · cart bumps
    • Deck · notes · workbook
    • Email nurture (external PS, internal, Sunday night, Circle)
    • Social copy & campaign assets
  • Its own room because an intensive is part marketing, part program — and you always look for it by name.
06 Live Events & RetreatsRooms, retreats, and the archive worth keeping. +
  • 2026 Luxury Retreats — Founder's Fire, ME Retreats (overview, RSVP lists, email nurture, agendas)
  • Live Events Sortable list — by event & year
  • Archive — past decks, notes, email sequences, sales emails (so nothing gets rebuilt from scratch)
  • Premium / Mastermind Lists
07 BrandingThe raw materials — not the marketing made from them. +
  • Brand Guidelines
  • Logos & Typography
  • Photos & Video — links to the organized drive folders
  • Canva Access
+ Team SpacePrivate to-do lists — separate from the shared rooms above. +
  • Melissa · Jackie · Brooke · Maribel · Katti (tech) · Ads Manager
  • Private task lists and bookmarks, so they don't clutter the shared rooms.

Three quick questions for you

Gut-check only. No deep dive.

1AI Brain — its own room, or inside Programs?
It's grown a lot. If it's central now, it gets its own door.
2Sales — its own room, or inside CEO & Business?
Want to walk into a room called Sales and see the numbers right there? Say the word.
3Do these rooms match how you'd go looking?
That's the whole test. Wrong door anywhere? Tell me and I move it.
One small system

A way we name things

Right now we all name docs whatever we're thinking in the moment. So nobody can find anything later.

If we name things the same way — by the room they belong to — everything sorts itself. For all of us.

The pattern

ROOM — what it is

MARKETING — MTS Sales Emails
PROGRAMS — Hive Welcome Deck
LIVE EVENTS — Founder's Fire Agenda
INTENSIVES — Authority Loop Workbook
SALES — 2026 Goals Tracker

The win: type the room name and everything in that area comes up at once — in Drive, in Notion, or just by asking Claude. Nobody reorganizes anything. We just name new things this way going forward.

Where this came from

I pulled this from your own business plan — the organizational structure we mapped out when we first tried to get everything in one place. This is that same thinking, rebuilt for Notion.
